Hyperview Privacy Policy
Effective: August 22, 2026 — Version 1.0
This Privacy Policy describes how HyperLink Infrastructure ("HyperLink," "we," "us") handles personal information in connection with Hyperview (hyperview.hyperlink.net), our customer portal. It applies to portal users; our handling of customer project data is governed by the written agreement between HyperLink and your organization.
INFORMATION WE COLLECT
Account information: your name, work email address, job title, phone number (if provided), your organization, and your role in the portal — provided by you or by the person who invited you.
Sign-in and security data: authentication is performed by Microsoft Entra (External ID for customer organizations; Entra ID for HyperLink staff). HyperLink does not receive or store your password. We receive and store your account identifier, email address, and sign-in events. Multi-factor authentication is handled by Microsoft.
Legal acceptance records: when you accept the Terms of Use or other policies, we record the document version and content hash, the date and time (UTC), your account, your IP address (including the raw forwarding header), your browser's user-agent string, and the sign-in method used. These records are retained as evidence of acceptance and are append-only.
Usage and audit data: we log administrative and access events (sign-ins, including denied attempts; invitations; entitlement changes; access to map services) for security and support purposes.
Access requests: if you submit the public "request an account" form, we store the name, email, phone, title, and company you provide, and notify our administrators.
HOW WE USE INFORMATION
We use this information to operate, secure, and support the portal; to verify that access remains limited to authorized users of the correct organization; to maintain legally required or contractually agreed records (including acceptance evidence); and to communicate with you about your access (invitations, sign-in help, service notices). We do not sell personal information, and we do not use portal data for advertising.
SHARING
We share personal information only with: (a) service providers that host and operate the portal (Microsoft Azure; Microsoft Entra for authentication; Microsoft 365 for outbound email), acting on our instructions; (b) your organization's administrators, who can see the users, invitations, and status associated with their organization; and (c) authorities when required by law. HyperLink staff with administrative roles can view account and audit information across organizations as needed to operate the service.
RETENTION
Account records and audit/acceptance records are retained for the life of the service relationship and thereafter as needed for legal, security, and compliance purposes. Accounts are disabled rather than deleted so that audit history remains intact; pending invitations that were never used may be deleted.
SECURITY
Access is invitation-only with multi-factor authentication. Data is isolated per organization at the database level, encrypted in transit, stored in Microsoft Azure with encryption at rest, and administrative actions are audit-logged.
YOUR CHOICES
To correct your account information, or to disable an account, contact your organization's administrator or support@hyperlink.net. Note that acceptance and audit records are retained as described above.
CHANGES
We may update this policy by publishing a new version in the portal, with the effective date shown above.
